Scheer Law Group, LLP (“SLG”) is a fast paced litigation law firm with offices in Northern CA and Orange County. We are looking for an experienced Office Administrator who can assist the principals of the Firm and perform key office financial/administrative duties in addition to processing Legal Billing to our Clients. Primary Office Administrator duties include : facilitation of accounting functions including banking (deposits, transfer of funds between accounts, set up of wire transfers, bank statement reconciliation), office budgeting/cash flow, A/R, A/P, payroll, Client Fee Retainers in Client Trust account, key management reporting (financial statements, attorney hours and commissions, and reports for tax reporting purposes), and managing the day-to-day operations of the office including information systems and facilities. Additional duties would consist of client billing and responding to client inquiries re billing and/or compliance, vendor management (office supplies/equipment/services), insurance and business license renewals, assist with human resource management including overseeing non-attorney personnel, become fully familiar with the firm’s case management system and work closely with the firm’s Cloud Host to maintain secure data/systems, as well as interacting with management and other staff to assist as needed.

Law Firm Administrator Required Experience:

A qualified applicant would have the following experience:

- At least five years office administration experience handling billing, accounts receivable, accounts payable and/or payroll; understand and use common financial reports to generate annual 1099 reporting and quarterly/annual financial statements for management and tax reporting purposes. Advanced understanding of office management practices including knowledge of account procedures and information systems.

- At least two years of experience handling office financial and administrative matters in a law office or other similar business.

- At least two years of experience communicating with customers, clients or external business professionals. Superior written and verbal communication skills.

- Exceptional attention to detail, strong organizational skills, be proactive and an effective problem solver, and ability to organize and prioritize tasks to consistently meet deadlines. Ability to maintain confidential records.

- Proficient in Outlook, Word, and Excel; ability to modify and manage pdf documents. Experience using ProLaw software helpful, but not required.

- A stable job history that will evidence your accomplishments.
