Job Description

We are seeking a dedicated, calm, and professional Executive/Personal Assistant to support a high net worth individual/principal of a real estate investment family office. The ideal candidate should have a keen interest in early American history and stay informed about global current events.

Start Date: Mid-January 2025, with an immediate offer for the right candidate to ensure a smooth transition from the retiring EA.

Compensation: Competitive salary ranging from $100,000 to $135,000, commensurate with experience, plus a discretionary bonus, fully paid benefits, and a pension plan that vests after five years. Enjoy a work-life balance with three weeks of paid time off.

Schedule: Work in our Midtown NYC office from Monday to Thursday, with flexible hours starting at either 9 am or 10 am and ending at 5 pm or 6 pm, respectively. Fridays are work-from-home days.

Responsibilities:

- Provide comprehensive support for the Principal's business and personal needs.
- Assist with executive lunches and tea service.
- Manage the Principal's calendar, coordinating with advisors and staff both in the US and internationally.
- Organize travel arrangements and create detailed itineraries for domestic and international trips.
- Assist family members with various tasks as needed.
- Keep calendar appointments updated in both printed and online formats.
- Maintain timesheets using Excel.
- Handle corporate phone calls, sort mail, and assist office visitors.
- Manage files, corporate address lists, Outlook contacts, and emergency contact lists.
- Coordinate corporate contributions and correspondence for tax purposes, including a scholarship fund.
- Oversee corporate petty cash and prepare expense reports.
- Assist with light accounting duties as required.
- Draft minutes for meetings.
- Order office and kitchen supplies, manage copy and postage machines, and oversee other in-house equipment and accounts.
- Assist with gifting and conduct online research.

Qualifications:

- Knowledge of Early American History is essential.
- Familiarity with the history of Pennsylvania is a plus.
- Proficiency in French is beneficial.
- Strong written and verbal communication skills.
- Highly detail-oriented with exceptional organizational abilities.
- Proven experience in coordinating both domestic and international travel.
- Experience working in a family business is advantageous.
- Ability to interact professionally with clients and advisors.
- Proficiency in Microsoft Office Suite, particularly Word and Excel.
